Documents · Lesson 3 of 4

Give documents proper names

Rename files from what's on them, like the date, supplier and invoice number, and sort them into folders.

The comic

  1. Panel 1 of 4.

    scan_0001.pdf?!

Murphy says: Files called “scan_0001.pdf” help nobody. Add a step and choose “Rename”.
  2. Panel 2 of 4.
Murphy says: Build a “New name” from pieces. “Add a field” uses what was read from the document or a lookup, or the “Original name”, “Folder it came from” or “Date of the run”. “Add text” goes in between.
  3. Panel 3 of 4.
Murphy says: Only need to change part of a name? Switch to find and replace. “Find” can even take a regular expression (a pattern for matching text). Not sure what to write? “Work it out from an example”.
  4. Panel 4 of 4.
Murphy says: Tidy folders too: “Put the file in a folder”, like one for each year and month. And you choose what happens when two files get the same name.
